How to manage to book vessel if cut off time is too short to reach?

First i have to know when the goods are ready to be shipped then coordinate with both custom clearance department and Trucker to determine the time to finish all procedures for export , the container should be at port before the cut off date by hours at least to grantee adding it on loading list and load plan.
