A secretary at a meeting is responsible for:

 

A. Before the meeting

- inviting attendees

- circulating the agenda

- preparing the venue

 

B. At the start of the meeting

- take a roll call of the attendees

- record reasons for those absent

- read minutes of the last meeting

- read out the agenda

- record the time the meeting started

 

C. During the meeting

- unobtrusively take notes/minutes of the discussion, recording who said what

- answer questions relating to past meetings or current agenda

 

D. When the meeting ends

- record the time the meeting ended

- record resolutions of the meeting

- convert the rough notes into professional minutes of the meeting

(this may take some time)

- circulate the minutes to the attendees and absentees

- plan for the next meeting agenda
