How can i make effective safety file with records which present my work in professional ways as a expert?

in this case we need to creat online system that can be enable for the employees to have limit  access, and will be controlled by the record admin.

 

I'll keep all my files with hard and soft copy and keep it in a safe cabinet. Important files must have password
