How would you handle a person who called repeatedly demanding to speak to your boss when you knew your boss wanted to avoid that person?

  • It would be suitable to humbly respond that person with an excuse that since boss is fully occupied in back to back meetings and other critical engagements, it's not suitable for boss to meet that person at the moment and he should either wait till the right time or share the case with me so I may approach the boss with the case at the best possible chance.
  • If the case needs urgency, then alternate option would be to offer self assistance and ensure best possible coordination.
  • In case the matter is restricted and confidential with boss only then I would ask for his contact details and assure that once boss gets free then his matter would be put up to boss at first priority and afterwards would get back to him sooner.
  • In the meantime would keep the boss in loop how much the person attempted to meet him.

- Politely speak to him and enquire the reason he wants to speak to the boss.

- Note down his details and contact number.

- Inform him that the boss is not currently available due to important meetings and  assure him that he  will be contacted as soon as the boss gives an update about his request.

- Notify the boss about this call.

 - Follow up with the caller.

 

i will inform him politly that my boss is not available at the company for this short period. and after gently asking what his needs are i will let him know that i'm willing to help it it's possible

 I try to understand what is already thereI tell him  that my boss is not available right now and I that i will be happy to take his claim on display and get the message to my boss as soon as it will be available

I will politely and courteously ask his name and other details and which connection he would like to speak with the boss.  After getting the details, I will inform him politely that the boss is not in office has gone for a meeting and may or may not turn up.  I will try to pacify in my own way and try to resolve his issues thru concerned departments if possible, otherwise tell him that upon boss's return I will convey his message to him and that he wanted to speak to the boss.

Convey greetings and then courteously say that my boss is in a meeting which is out of the premises and may or may not come back today.  Take in the caller's details and contact no. Give him confidence that he can share the message with me and if it is in my hands shall try to solve and get back to him soon.  If not, shall convey the message to my boss and shall update him as soon as I get a reply.

I have faced this problem before , first i make sure i talk to that person in a calm voice assuring him that anything can be solved ,and that my boss is either in a meeting or away on a business trip. I would assure him that he can share his problem or issue with me and i will try my best to solve it and get back to him soon. if he refuses my help i will keep him calm and tell him that i will deliver his message personally to my boss and i will follow up with him on this matter .
