Yes Electronic Document managment System is Better than manual Document System.

In the event of physical catastrophe in the office, using Document Management software means all your records can be retrieved via a routine “restore from backup” action. In other words an effective Disaster Recovery policy is in place.

The main benefits of electronic document management are:

  • Electronic document management frees your staff from the drudgery of bulk paper filing and intuitive additional tools help streamline work processes even further.
  • Powerful filing flexibility - the same document can be filed under several references such as Name, Document Number and Date - not possible with paper documents or computer files unless copies are made. This lays the foundation for a very effective retrieval tool. Indexing a document is an easier and simpler task than giving it a complex filename and having to save it to a particular named Explorer folder.
  • Integrating the filing of other electronic files as well as paper documents enables you to achieve one consistent and logical filing structure for ALL your documents.
  • Paper and PC-generated files received from any source (Post, Email or Fax) are filed into one system. They can then be viewed or actioned by any user or users simultaneously across a network or web. The ability to share documents has several advantages:

Typical manual document control systems require document control and engineering change administrators to receive edited information in hard-copy form. Many manual document control systems use document change and engineering change forms that accompany edited documents. If an organization requires its engineering personnel to initiate their own engineering change forms,

Paper documents are delivered by mail and stored locally in filing cabinets. For multiple users to access documents simultaneously one needs a set of documents per each accessing person. File cabinets are bulky and use up valuable office space. Paper documents are difficult to search, carry, copy, and modify. Paper documents are easily damaged, misfiled or misplaced.Electronic documents are delivered by networks, disks, flash memory and CD/DVD and are stored on a file system. Multiple users can read and review electronic document simultaneously. Computer file systems are getting smaller and contain more data every year. Personal file systems are physically smaller than a small cell phone; only very large companies need massive file systems that occupy a lot of real estate. It is almost too easy to search, carry, copy, and modify electronic documents. Electronic documents, in a well run operation, have copies and damageto a single copy causes extra work but no loss.
